Volunteer Policy

Ferry Farm Flying Fish swim meets are truly a family activity! Our meets cannot run without the help of many, many volunteers. 

Volunteer Requirements

All Flying Fish swimmers MUST have a parent or other adult volunteer for at least one shift for EVERY meet they swim in. Our swim meets, especially home meets, absolutely cannot run without the help of many volunteers. The only exception to this rule are if all positions are already filled, which rarely happens. 

ALL RETURNING FAMILIES will be asked to have at least one family member trained and registered as a Certified Official (Starter, Data, Stroke & Turn, Head Timer, Clerk of Course, and Referee). The more certified officials we have, the smoother and FASTER our meets will run! 

These certified positions require taking a class through the RSL and submitting proof of class completion to the volunteer coordinator. Classes for all positions except for Referee and Stroke & Turn are online, so you can become certified from the comfort of your own home! 

If there is an open volunteer position for a meet and your swimmer does not have a parent/adult representative signed up to volunteer, you will be assigned a role or your swimmer will be scratched from the meet (unable to swim).

Volunteer Incentive

Each volunteer position has been assigned a point value. For each point, a raffle ticket will be given at sign in. At the end of each meet, 2 names will be drawn and a $5 concession credit will be given to those volunteers. At the end of season party, a name will be drawn for one free registration for next year. If you have a senior swimmer, you can opt for a refund of this years fees. Non-member fees will still apply.

Volunteer Sign-Up Instructions

In order to sign up for a volunteer position follow these steps: 

1. Click "Meet & Events"

2. Click "Signup Calendar"

3. Find the meet you want to sign up for and click "Job Signup"

4. Find your position of interest and check the box next to the job title. 

5. You will be e-mailed a confirmation of your signup as well as a reminder e-mail prior to the meet. 

All volunteers will need to sign-in prior to the start of their shift at the volunteer check-in tent. Please e-mail [email protected] with any questions regarding our volunteer positions or policies.

Volunteer Job Descriptions

Job Title Certified Position Job Description
Announcer No  Announcer is responsible for making announcements from the volunteer tent. These announcements include meeting times for timers, stroke and turn judges and shift changes. Volunteer is also responsible for making any other announcements requested by the home and/or visiting team. Needed for home meets only.
Head Clerk of Course Yes The Clerk of Course lines up swimmers for their events, calls swimmers' names, passes out deck cards and arranges the swimmers into heats. Needed for both home and away meets. 
Clerk Helper No Clerk Helper is responsible for assisting the Clerk of Course with their duties. Needed for both home and away meets. 
Concessions No Volunteer will assist with food preparation, serving, clean up, and transactions. Needed for home meets only. 
Deck Set-Up No Volunteers will arrive at 4:00pm to clear the pool deck of chairs and tables. They will also be responsible for setting up the announcer tent, sound system, sideline ropes, and canopies for the clerk of course, data area, and concessions. Needed for home meets only.
Deck Clean-Up No Volunteer will be responsible for placing tables and chairs back onto pool deck as well as removing team banners. Signs advertising for our sponsors will remain along the fence line until the end of season. Needed for home meets only.  
Head Timer Yes

Head timers will organize lane timers,  distribute watches, clipboards and pencils. They are also responsible to assist as needed at the Timers’ Meeting, typically 15 minutes prior to the meet start time. Needed for both home and away meets. 

Heat Ribbons  No  Volunteer determines the winner of each individual event heat and awards that swimmer a heat winner ribbon. Needed for both home and away meets.
Timer No

Timers are responsible for recording the swimmer’s time in each event. Each timer is provided a stopwatch and assigned a lane. Needed for both home and away meets.

Starter Yes

The starter will begin each event with an announcement and solely make determinations for false starts.

Stroke & Turn Judge Yes

Stroke & Turn judges work in pairs on each side of the pool with one member of a pair being from each team. Judges only rule on infractions on their side of the pool. They observe strokes, turns, and finishes to see that swimmers comply with requirements for that stroke. Needed for both home and away meets. 

Referee Yes

During the competition, the meet referee’s role is to ensure safe competition and consistent application of rules and procedures for all sessions of the meet. Needed for home meets and occasional away meets.

Admin Referee Yes During the meet, the admin referee is responsible for assisting the referee. Needed for home meets and occasional away meets. 
Runner No

The runner is responsible for obtaining the completed event cards and DQ forms for each race from the timers and judges. The cards and DQ forms are delivered to the data area. Needed for home meets only. 

Swimmer Check-In No Volunteer is responsible for checking in the swimmers prior to the start of the meet (event list will be provided). Responsibility also includes writing events on hands/arms for swimmers. Swimmer check-in volunteer must arrive at 5:00 p.m. in order to prepare for check in.  Needed for both home and away meets.  
Safety Marshall No Volunteer will supervise activities on the pool deck to ensure all participants and spectators are complying with general pool safety standards. Needed for both home and away meets.
Ribbon Labeler No
This position requires volunteer to place labels on ribbons; sort and file ribbons into swimmer file folder. This position also requires the volunteer stay after the last event has been input and finalized. Needed for both home and away meets. Typically requires staying 15-20 minutes after end of meet.
